| TELECONFERENCING TIPS: |
 |
|
- When possible, send an agenda to all participants.
- Set a time limit for your call.
- For regularly scheduled calls, make sure all
participants have the 800 number and the participant code.
- Where possible, have participants from the same location
(office or building) call in together on the same line using
a speakerphone.
- Inform participants to announce their names slowly and
clearly, and to include the names of their organization
(company and/or department).
- Use the Record feature at the end of a call to capture
action items, commitments, or a summary of the call. If
applicable, record the entire call instead of taking
minutes.
- If using multiple Moderator Codes, assign them by the
person's name responsible for that code, or by the
organization using it (sales, operations, marketing, etc.).
- Use the individual Participant Mute feature to quiet a
noisy cell phone connection, music-on-hold, or distracting
background noise. You may identify which participant is
causing any of these distractions via the use of the
Participant Speaker ID Light.
- Send all documents to be used during a call to all
participants using as much lead time as possible.
- When referring to a document during a call, always state
the document title and/or page number so all participants
may follow along quickly and accurately.
